This website provides information about PLUGGED, handles crew registration and the private Crew Portal, and provides the PLUGGED Live app for the jury, hosts and organization team on the day of the event. We process personal data only to the extent necessary for these purposes and in accordance with the DSGVO (GDPR).

We do not use any analytics or tracking tools, do not embed any advertising networks and do not sell any data.

The website runs on a dedicated server of STRATO GmbH, Otto-Ostrowski-Straße 7, 10249 Berlin, Germany, which acts as a processor on our behalf (Art. 28 DSGVO).

When the site is accessed, the server processes technically necessary connection data — IP address, date and time, requested address and browser identifier — in order to deliver the pages and to ward off attacks. Legal basis: Art. 6 Abs. 1 lit. f DSGVO (secure and stable operation). We do not keep access logs. Server error logs may contain IP addresses; they are deleted automatically after 14 days.

For the initial registration we process: team name, dance school/institution/origin, name of the responsible contact person, email address, mobile number, division and the stated number of team members.

In the private Crew Portal the crew additionally submits: first and last names as well as dates of birth of all team members (required for the age rules of the divisions), the official team photo, the performance music, information on props and the payment status. The age rule is checked automatically in advance; the organization team decides on admission.

The purpose is the organization and running of the competition. Legal basis: Art. 6 Abs. 1 lit. b DSGVO (contract or pre-contractual measures). Without this information we cannot admit a crew to the competition.

The data of team members — including minors — is provided by the crew's responsible contact person. They ensure that they are authorized to do so and inform the team members (in the case of minors, their legal guardians) about this privacy policy.

After registration we send a private link to the Crew Portal to the contact address. We store the access key only as a cryptographic hash. Anyone who has the link can view and edit the crew's registration — please treat it confidentially.

The registration fee is paid by bank transfer to our bank account. For allocation purposes we process the amount, date, payment reference (registration number and team name) and the name of the account holder. Legal basis: Art. 6 Abs. 1 lit. b and c DSGVO.

If we offer card payment or PayPal in the future, we will supplement this policy beforehand.

We send emails (access link, deadline reminders, messages from the organization team, daily schedule, newsletter) via the service Resend (Plus Five Five, Inc., 2261 Market Street #5039, San Francisco, CA 94114, USA) as a processor. In doing so, the email address, name, content of the email and technical dispatch data are processed.

The data is processed in the USA. The basis is the European Commission's adequacy decision on the EU-U.S. Data Privacy Framework, under which Resend is certified (Art. 45 DSGVO); EU Standard Contractual Clauses also apply in addition (Art. 46 DSGVO).

You will only receive the newsletter if you explicitly requested it at registration or in the Crew Portal and confirmed it via the button on the confirmation page (double opt-in). As proof, we store the times of sign-up and confirmation. Legal basis: your consent (Art. 6 Abs. 1 lit. a DSGVO).

You can withdraw your consent at any time with effect for the future — via the unsubscribe link in every newsletter email, via the unsubscribe function of your email program or in the Crew Portal. We then keep the proof of the earlier consent for up to three more years (Art. 6 Abs. 1 lit. f DSGVO, defence against claims).

If you registered your crew, we use your email address to invite you to future PLUGGED editions (§ 7 Abs. 3 UWG, Art. 6 Abs. 1 lit. f DSGVO). We point this out at registration and in every invitation.

You can object to this at any time – by email to events@areaudc.de or via the unsubscribe link in every invitation – without any costs other than the transmission costs at basic rates. After that we will not send you any more invitations.

On the event page you can display a map from Google Maps (Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland). The map is only loaded once you click “Load map”. Only then is data — in particular your IP address — transmitted to Google, possibly also to servers of Google LLC in the USA, which is certified under the EU-U.S. Data Privacy Framework.

The legal basis is your consent given by clicking (Art. 6 Abs. 1 lit. a DSGVO, § 25 Abs. 1 TDDDG); it applies only to this page view. Further information: https://policies.google.com/privacy

We store on your device only what is strictly necessary for the functions you use (§ 25 Abs. 2 Nr. 2 TDDDG). We do not use tracking, analytics or advertising cookies.

Language selection (cookie plugged-locale): only set once you select a language yourself; storage period 12 months.

Registration: Your entries in the registration form are temporarily stored in your browser's session storage (sessionStorage) until you submit them, so that nothing is lost when you go back; after submission or when the tab is closed, the draft is deleted. In addition, the session storage remembers that the intro animation has already been shown.

PLUGGED Live and admin area (only for jury, team and organizers): a login cookie (plugged-live or plugged-admin), language and display settings (plugged-live-lang, plugged-live-theme, 12 months) as well as operating settings and drafts not yet sent in the browser's local storage.

For the jury, hosts, stage team and organization team we process name, role, invitation and login data, messages in the team chat and the jury's scores. The purpose is the running and evaluation of the event (Art. 6 Abs. 1 lit. b and f DSGVO).

For anyone who turns on push notifications in PLUGGED Live, the device receives a push address that we store; the messages are delivered via the push service of the respective browser vendor (e.g. Google, Apple, Mozilla). They can be turned off at any time.

We publish the results (crew name, origin, placement and score) after the event on this website and on certificates (Art. 6 Abs. 1 lit. f DSGVO — traceable documentation of the competition). We do not publish which score came from which judge.

Photo and video recordings are made at the event. The performances and the award ceremony are broadcast live on the internet; the recording may remain available afterwards. We also use photos and videos for reporting on PLUGGED, on this website and on our social media channels. Legal basis: Art. 6 Abs. 1 lit. b DSGVO (Terms of Participation) and Art. 6 Abs. 1 lit. f DSGVO (reporting on the event).

The livestream runs via an external streaming platform. We will name its provider here in good time before the event; the platform processes its viewers' data in accordance with its own privacy provisions.

Anyone who does not wish to be recognizable in photos or videos used for reports and social media can notify us in advance at events@areaudc.de.

Team photos and music files are not publicly accessible on the internet. They can only be accessed via the crew's private access link or by the organization team.

During the event we show the team photo on the stage screen, in particular when the crew performs and at the award ceremony (Art. 6 Abs. 1 lit. b DSGVO, in accordance with the Terms of Participation).

Personal data is received only by: STRATO GmbH (hosting), Resend (email dispatch), Google (only after clicking on the map), your browser's push service (only if push notifications are turned on), the livestream platform (recordings of the performances) and our bank upon receipt of payment. We pass data on to other third parties only if we are legally obliged to do so.

We keep your Crew Portal with team name, contact details and registration history beyond the event, so that you can keep it and easily register again for the next PLUGGED editions (Art. 6 Abs. 1 lit. f DSGVO). You can request at any time that we delete your Crew Portal in whole or in part — an email to events@areaudc.de is enough.

We automatically delete team lists (names, dates of birth) 6 months after the respective event, and team photos and music files 6 months after that. Together with the team lists, we also delete the team chat, messages to the hosts, invitation links and push addresses from PLUGGED Live.

We keep scores and results from PLUGGED Live permanently, so that you can view your results later and so that we can show results and leaderboards on this website (Art. 6 Abs. 1 lit. f DSGVO). This also includes the names of the jury members alongside their scores; these are not published.

We keep backups, internal interim states and logs for 12 months at most; after that they are deleted automatically.

Excluded are documents subject to a statutory retention obligation: accounting records such as incoming payments 8 years, business letters (e.g. registration emails) 6 years (§ 147 AO, § 257 HGB). Published results, photos, videos and livestream recordings remain online as the event archive as long as there is no justified objection.

Newsletter: until unsubscription (proof of consent thereafter for up to three years). Server error logs: 14 days.

You have the right of access (Art. 15 DSGVO), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18) and data portability (Art. 20). You can withdraw any consent you have given at any time with effect for the future (Art. 7 Abs. 3).

Right to object: Where we process data on the basis of legitimate interests (Art. 6 Abs. 1 lit. f DSGVO), you can object at any time on grounds relating to your particular situation (Art. 21 DSGVO).

You can also lodge a complaint with a data protection supervisory authority (Art. 77 DSGVO), for example with the State Commissioner for Data Protection and Freedom of Information of North Rhine-Westphalia (Landesbeauftragte für Datenschutz und Informationsfreiheit Nordrhein-Westfalen), the authority responsible for us.
